The Senior Administrative Assistant plays a key role in providing support to the operations of the company. Reporting directly to the General Manager, the Senior Administrative Assistant must be proactive, detail-oriented, professional and able to handle a wide variety of administrative tasks. Strong computer skills and office administrative skills are essential to the position. The Senior Administrative Assistant must have prior experience in records management across multiple departments including estimating, safety, proposals, and project administration. The position requires an ability to meet deadlines effectively under high-pressure, time-sensitive situations. A basic understanding of construction terminology is an asset. Project Related Responsibilities
Coordinates and distributes project documentation
Sets up new projects in SharePoint, creates and manages folders
Prepares and distributes project-related documentation for operations and projects
Prepares and updates corporate resumes for all project personnel
Archives project files and maintain an electronic legend
Provides administrative support to Senior Management, Operations Staff and Estimating Department
Assists with the formal tender close process, ensuring accuracy and timeliness under high-pressure conditions
Supports addendum check-ins and RFI’s during estimating process
General Administration Tasks/Responsibilities
Provides backup reception coverage when required
Supports all teams to ensure all meeting rooms are prepared and electronically functioning
Assists in preparation and proof reading of communications for intranet, website and social media
Participates in coordination of company events
Coordinates office equipment setup and maintenance for new and existing employees
Shares in the responsibility of office organization and daily functions
Other administrative duties as required
Reporting Relationship
The Senior Administrative Assistant reports directly to the General Manager.
Work Location
The Senior Administrative Assistant works from the corporate head office in Surrey, BC. Required Qualifications
3 years experience (min) in an administrative role in the construction industry or related field
Diploma or undergraduate degree in Business Administration or related field
Proficient with Microsoft Office: Outlook, Excel, Power Point and Word, Adobe Acrobat
Able to work under pressure in a time sensitive environment with critical deadlines
Excellent editing and proofreading skills (technical/proposal writing an asset)
Proven track record of strong organizational skills with great attention to detail
Strong communication skills (written and verbal) and business acumen
Pleasant demeanour with a team-player mindset
Willingness to take on new challenges and committed to continuous learning
