Position Overview The Proposal Coordinator is responsible for writing, editing and coordinating successful proposal documents to communicate Jacob Bros services in the construction sector, and win new projects.
Responsibilities and Primary Tasks
Writes, plans, drafts and designs overall proposal documents (including corporate resumes, project summaries and other supporting information), showcasing company value proposition and ensuring compliance with RFP/RFI requirements.
Analyzes RFQ and RFP requirements, assists management in the development of winning proposal strategies.
Continuously edits and proofreads proposal document materials to ensure quality, accuracy, clarity, consistency, and completeness.
Manages tasks for multiple projects concurrently to meet tight deadlines and submission target dates.
Demonstrates a sense of urgency and follows direction of management to create successful business proposals and ensure deadline compliance.
Establishes positive working relationships amongst proposal team members; manages multiple stakeholders and coordinates amongst team to ensure individual contributions are submitted on time and meet all standards of the client.
Communicates progress of proposals to proposal team and management.
Maintains internal databases of marketing material for current and completed projects.
Develops templates for proposals and/or follows established templates as required.
Assists with preparation and delivery of final documents to meet deadline requirements.
Additional assignments per management discretion including but not limited to support of marketing material preparation and participation in special projects.
Maintains a high level of professionalism and confidentiality.
Demonstrates initiative, a positive attitude and willingness to adapt to change.
Reporting Relationships The Proposal Coordinator reports to the VP of pre-construction.
Minimum Qualifications
Two (2) years experience writing and coordinating RFQ and RFP processes in the construction industry.
Proven experience meeting RFQ/RFP deadlines in fast paced, demanding environments.
Advanced proficiency in Microsoft Office Suite and Adobe Suite.
InDesign and Photoshop an asset.
A Bachelor’s degree or certificate in Marketing, Communications, Business or a related field, or related experience in the field is an asset.

Work Environment The Proposal Coordinator position is based at the corporate head office in Surrey, BC.
